5222 Procedure – Procedures Pertaining to Evaluation of Secretaries, Instructional Assistants, and Operators

A. Secretaries, instructional assistants, and operators shall be evaluated by the building/program administrator, or designee.  (NOTE:  The evaluation shall be done in cooperation with the employee’s immediate supervisor and/or administrator of other buildings where the employee works, if applicable.)

B. The evaluation form shall be completed and provided to the evaluatee at least twenty-four (24) hours prior to the evaluation conference.

C.The evaluator shall meet with the evaluatee to review the evaluation document.

D. The evaluation will be dated and signed by the evaluator and evaluatee.  The original, signed evaluation will be sent to the personnel office, a copy given to the employee, and a copy retained by the evaluator.

E. Employees may attach written comments to the original, signed evaluation which will be attached to the evaluation document and maintained in the district office personnel file.

F. The evaluation process shall be conducted annually and completed as follows:

1. Non-annual employee evaluations are to be completed by May 30.

2.  Annual employee evaluations are to be completed by June 30.

II SIXTY (60) DAY PROBATIONARY PERIOD EVALUATIONS FOR NEW HIRES

A. Each newly hired secretary, instructional assistant, and operator shall be evaluated by the end of the sixty (60) working day probationary period.  (NOTE:  The probationary period may be extended twenty (20) working days if the District believes additional time is necessary to evaluate the employee’s job performance.)

B. A draft of the evaluation is to be completed by the principal/program administrator, or designee, and provided to the employee at least twenty-four (24) hours prior to the evaluation conference. (NOTE:  The evaluation shall be prepared in cooperation with the employee’s immediate supervisor and/or administrator(s) of other buildings where the employee works, if applicable.)

C. The evaluator shall meet with the evaluatee to review the evaluation document.

D. The evaluation will be dated and signed by the evaluator and evaluatee.  The
original, signed evaluation will be sent to the personnel office, a copy given to the employee, and a copy retained by the evaluator.

E. Employees may attach written comments to the original, signed evaluation which will be attached to the evaluation document and maintained in the district office personnel file.

F. The evaluation process will be completed and the signed evaluation form submitted to the personnel office no later than the sixtieth (60th) working day from the date of hire into the District, unless the probationary period has been extended.  If the probationary period is extended, the completed and signed evaluation form must be submitted to the personnel office no later than the eightieth (80th) working day from the date of hire into the District.
III. THIRTY (30) DAY PROBATIONARY PERIOD EVALUATION FOR EMPLOYEES CHANGING JOB CLASSIFICATIONS OR TRANSFERRED EMPLOYEES
A. Each newly transferred secretary, instructional assistant, and operator (including employees hired into a new classification) shall be evaluated by the end of the thirty (30) day probationary period. (NOTE:  The probationary period may be extended twenty (2) working days if the District believes additional time is necessary to evaluate the employee’s job performance.)

B. A draft of the evaluation is to be completed by the principal/unit administrator, or designee, and provided to the employee at least twenty-four (24) hours prior to the evaluation conference. (NOTE:  The evaluation shall be done in cooperation with the employee’s immediate supervisor and/or administrator of other buildings where the employee works, if applicable.)

C. The evaluator shall meet with the evaluatee to review the evaluation document.

D. The evaluation will be dated and signed by the evaluator and evaluatee.  The
original, signed evaluation will be sent to the personnel office, a copy given to the employee, and a copy retained by the evaluator.

E. Employees may attach written comments to the original, signed evaluation which will be attached to the evaluation document and maintained in the district office personnel file.

F. The evaluation process will be completed and the signed evaluation form submitted to the personnel office no later than the thirtieth (30th) day from the date of transfer into the position or hire into the new classification, unless the probationary period has been extended. If the probationary period is extended, the completed and signed evaluation form must be submitter to the personnel office no later than the fiftieth (50th) working day from the date of hire into the District.
